Today’s hospitals need to maximize internal resources without compromising patient care. Referrals, orders, lab reports, and other important documents can be easily lost or misplaced when relying on printing and scanning for inbound fax transmissions. Printing and scanning wastes costly amounts of paper and time, and lost or misplaced documents are difficult to verify if a hospital needs to prove receipt or a mis-order by a referring physician. All of this has potential to frustrate providers and hospital staff, delay patient care, and prevent timely reimbursement.
In response to these challenges, Forward Advantage developed RapidFiler to streamline the filing of inbound documents into MEDITECH. The solution is widely used among our customers, so we reached out to several contacts to help identify additional use cases and tips. A big thank you to these customers for sharing their feedback! Below are the highlights from their helpful feedback, plus links to new customer success stories.

Less Errors and Greater Accountability across Multiple Healthcare Systems
If a referring provider complains about a delay or incorrect order, the document in question can be quickly pulled up using RapidFiler’s built in auditing and search functionality. This electronic “paper trail” is essential for maintaining accountability and positive provider referrals, but it also saves a significant amount of time on tracking and follow-up. “RapidFiler has a nice auditing feature,” shares Gordon Miller, Business Analyst III at Kingman Regional Medical Center. “I can follow up with managers who have specific questions about a fax, and I can recover faxes that have been discarded.”

The Takeaway
Both patients and providers are exercising more choice with where they receive and refer care. Reliable and efficient processes for important documents like referrals, orders, and insurance documents positively impact provider relations, patient care, and a hospital’s bottom line. Better access to information is at the core of Forward Advantage’s solutions and services, and RapidFiler provides a great example.
